How to add users and members
On Business and Enterprise, organization admins add people to the Nomic tenant. Adding someone to the organization lets them sign in. It does not automatically give them every project, file, or workflow.
The Individual plan cannot invite teammates. Sign up and work stay personal at app.nomic.ai. Firm work belongs on <org>.drive.nomic.ai.
Who can add users
Only organization admins can invite people or change org roles. Open Admin → Members. If you do not see Admin, ask an existing admin to invite you or promote your role.
Invite people by email
- Sign in at your organization URL:
<org>.drive.nomic.ai. - Go to Admin → Members.
- Click Invite.
- Enter one or more work emails, separated by commas or new lines.
- Choose a role:
- Member — can use Nomic (files, Assistant, projects they are added to). Default for most people.
- Admin — can also manage members, integrations, spend, and Admin settings.
- Click Send Invites.
Nomic emails each person from no-reply@nomic.ai with a link to join. They must accept the invitation and sign in before they can use the product. Logging in without accepting first often lands on "No permitted organizations" — see I can't access my Nomic instance.
Pending invites appear on the Invited tab. Use the row menu to resend or revoke an invite.
After they join
Organization membership only grants tenant access. Next:
- Ask them to bookmark
<org>.drive.nomic.ai(notapp.nomic.ai). - Add them to the projects they need. Project admins do this in Project Settings → Members. Search for the person or enter their email, choose Member or Admin, and add them. They must already be in the organization and have signed in at least once, or the picker will not find them.
- Confirm they can open the relevant files in the source system (SharePoint, Egnyte, Autodesk Forma, and similar). Nomic does not override those permissions.
Directory and SSO (large rollouts)
Many Enterprise — and some Business — tenants provision users from the company directory instead of one-off invites.
- Connect the directory from Admin → Settings → Privacy & Auth (Connect directory). Assigned IdP groups (Entra, Okta, and other SCIM sources) create Nomic users automatically — no invite email.
- SSO (same settings page) controls how people sign in. Directory sync controls who exists in Nomic. You can use either or both.
- Directory-managed people show a directory icon on Admin → Members. Their access and role are owned by the directory, so enable/disable and role controls are locked in Nomic. Remove or change them in the identity provider.
- Manually invited users (break-glass admins, vendors, service accounts) stay fully editable and are not removed when the directory offboards someone else.

Seats
Seat usage counts enabled users. Pending invites do not use a seat.
If the organization is at its member limit:
- New invites (and newly directory-provisioned users) are created disabled.
- Disabled people see an access-restricted page until an admin adds seats and re-enables them.
- You cannot re-enable someone until a seat is free.
Contact Nomic if you need more seats.
Disable or offboard someone
From Admin → Members, open the person's row menu and choose Disable user. That blocks product and API access, revokes their API keys, and frees a seat. It does not delete company files or project history.
Directory-managed users are disabled when they leave the assigned IdP group or are deactivated in the directory. Do not expect a self-serve Delete account control on organization instances — that exists only on Individual. See Delete your Individual account.
Troubleshooting
